Lay out an HVAC service tag as a form: preprint what never changes, give the written fields real room, and choose matte. The most common problem with a service tag is its layout, when it was designed as branding with a gap instead of as a form.
Preprint what never changes
Preprint your company name, license number, and phone number. They're the reason the tag exists: they're what someone reads in two years when the unit stops.
Make the phone number large. Whoever reads it is in a mechanical room, maybe in poor light, looking for a number, not admiring a logo.
Give the written fields real room
Leave room for the date, the technician, and the next service due date. A technician writes in the space you provide. If that space is 1/8" tall, they'll write across your branding instead, and the tag stops looking like yours.
A pale box works better than a printed line: it shows where to write without competing with what's written.
Choose matte
Matte takes a ballpoint pen as well as a permanent marker. Gloss lifts color and contrast and takes a permanent marker too, but a pen only to a degree. On a roll label, writing on gloss scratches off with a fingernail. For anything written on, matte is the safe choice. See writing on stickers and labels.
Keep it away from the edge
Keep anything that must survive 0.09" inside the cut on vinyl stickers, or 1/8" on roll labels. A phone number against the edge is what gets trimmed if the cut shifts slightly.
Numbering equipment
Every sticker can carry its own number, barcode, or QR code, printed in one run instead of written by hand.
- A QR code or barcode already in your file prints as part of your artwork.
- Adding codes or sequential numbering is an artwork change. We can help, so reach out for a quote.
- For a plain count, tell us the first number, and we count up from it for the quantity you order. Anything else comes from a spreadsheet you send, one row per sticker.
Two things to get right. A scanner needs clear space on either side of a barcode, so don't crowd it with your logo. And your spreadsheet is the source of truth: we print exactly what is in it, and the proof shows only the first entry.
